Terms and Conditions
Before you join one of our conservation trips or programs, it’s important to understand our rules and conditions. These rules are part of your agreement with Biodiversity Business, a UK-registered non-profit social enterprise, company number 9759467.
By signing up, you agree to follow these rules. You confirm this by checking the box that says “I agree to the terms and conditions” on the application form. Please note that these terms can change without notice.
1. Booking and Payment
- A non-refundable deposit of 25% is required to secure your booking.
- Full payment is due 60 days before your start date. If payment is not received, then we reserve the right to consider your booking as cancelled.
- If you book within 60 days of the start date, then full payment is required upon booking.
- Payment can be made by credit or debit card
NOTE: For the smoothest booking experience, we use wetravel.com, our secure platform for our bookings and payments. - Most of our prices are in MYR Malaysian Ringgit and some in either GBP Pounds Sterling or USD US dollars. During the checkout process on wetravel.com, customers can select their preferred currency for payment.
2. Cancellation and Refunds
- If you wish to cancel your booking, you must send us written confirmation by email.
- The following cancellation fees will apply:
- More than 90 days before your start date: Loss of your full deposit
- Between 60 and 30 days before your start date: 50 % of the total cost of your programme cost
- Less than 30 days before your start date: 100% of the total cost of your programme
- Refunds will be processed within 14 days of the cancellation request.
3. Travel Arrangements
- We will make all reasonable efforts to provide the services described in your booking.
- However, we cannot be held responsible for unforeseen circumstances, such as natural disasters, political unrest, or other events beyond our control.
4. Travel Documents
- It is your responsibility to ensure you have a valid passport and any necessary visas.
- We will provide you with relevant travel documents, such as trip itineraries and accommodation vouchers.
5. Insurance
- You must have comprehensive travel insurance to cover unforeseen circumstances, including cancellation, medical emergencies, and lost luggage. This insurance should cover the entire duration of your booking with us. You may need to provide proof of insurance when you pay the final balance or when requested by our local conservation partners.
- Be sure to keep your insurance documents with you while traveling.
6. Changes and Cancellations by Us
- We reserve the right to make changes to the itinerary, program activities or accommodation due to unforeseen circumstances.
- In the event of a significant change, we will notify you as soon as possible and offer alternative arrangements or a full refund.
7. Website Accuracy
- While we strive to ensure the accuracy of the information on this website, we cannot guarantee that all information is up-to-date or error-free. We check all information with our overseas partners, but changes can occur beyond our control. If you have already booked and changes occur, we will do our best to inform you before your departure.
8. Complaints
- If you have any complaints about your travel arrangements, please contact us immediately so we can try to resolve the issue.
9. Governing Law
- These Terms and Conditions are governed by the laws of England and Wales.
